Vacancy Announcement: Assistant to the Ambassador
Job title: Assistant of the Ambassador of the Republic of Lithuania Place: Embassy of the Republic of Lithuania to the Republic of Turkey, to the Islamic Republic of Pakistan and to Islamic Republic of Iran Duration of contract: 1 year. Basic salary coefficient is assigned from 5.89.
Requirements and qualifications:
Education: Bachelor‘s or other undergraduate university degree from a recognized university.
Language: fluency in oral and written Lithuanian (minimum C2 level) and excellent written and communication skills (minimum B2 level) of other – Turkish and English – language.
A candidate must know how to work with MS Office and be ready to be trained to work with computer programs, used at the Embassy.
He or she must know the basics of the secretarial work, including front desk duties, archivingand document management.
A candidate should be able to work in a small team, be responsible, independent worker, show strong ethics and exercise discretion, be able to put his or her thoughts down on paper smoothly or communicate efficiently.
A candidate need to have legal residence in Turkey.
Duties and responsibilities:
- Administrative support to Ambassador, including managing of the agenda of the Ambassador;
- Performing general secretarial work at the Embassy including answering incoming telephone calls and e-mail messages, and providing general information on Lithuania;
- Managing official correspondence at the Embassy, register incoming and outcoming documents, filing of the documents and the archives;
- Preparing letters and written material as requested by the Ambassador ;
- Keeping a record of appointments and schedules meetings for the Ambassador and other diplomats;
- Following the Turkish press and preparing press-reviews, ;
- Providing consular information for persons concerned;
- Maintaining guests relations, inform visitors and other public on the activities of the Embassy, update information in the Embassy’s internet site and social media;
- Carrying out limited routine administrative work;
- Providing translation services in written;
- Assisting Embassy Staff in organizing Embassy’s events and functions, the logistics of the official visits;
- Other related duties and assisting in other aspects of the Embassy’s work, as required.
Relevant previous professional experience would be an asset.
